DROGNOSTICS PRIVACY POLICY

DroMetrics LLC, a Florida limited liability company (“DroMetrics,” “we,” “us,” or “our”), owns and operates DroGnostics, an HVAC service-call workflow, diagnostic-support, documentation, and reporting platform.
This Privacy Policy explains how we collect, use, disclose, retain, and protect information when you:
visit the DroGnostics or DroMetrics websites;
create or use a DroGnostics account;
purchase a subscription;
use DroGnostics Core, DroGnostics Pro, or related services;
upload equipment information, photographs, job information, or service records;
use AI-assisted features;
contact support; or
otherwise interact with us.
This Privacy Policy applies to information processed by DroMetrics through DroGnostics and related websites, applications, communications, and services.
It does not apply to third-party websites, applications, or services that we do not control.
By accessing or using DroGnostics, you acknowledge this Privacy Policy.

For purposes of applicable privacy law, DroMetrics may act as:
a business or controller for information collected directly from account holders, website visitors, and prospective customers; and
a service provider or processor when we process job, technician, property, equipment, or customer information on behalf of a subscribing contractor or business customer.
When DroMetrics processes information on behalf of a business customer, that customer determines why the information is collected and how it is used. Questions concerning that customer’s collection or use of information should generally be directed to the customer.
2. INFORMATION WE COLLECT
The information we collect depends on how you interact with DroGnostics and which features you use.
2.1 Account and Registration Information
When an account is created, we may collect:
company name;
individual name;
job title or role;
email address;
telephone number;
username;
encrypted or hashed password information;
account identifiers;
technician or user-seat assignments;
subscription plan;
account status; and
communication preferences.
2.2 Billing and Transaction Information
When a subscription or other purchase is made, we may collect:

billing address;
email address;
telephone number;
subscription plan;
transaction date;
transaction amount;
payment status;
invoice information;
tax information;
payment-method type and limited payment details; and
payment processor transaction identifiers.
Payments are processed by Stripe.
We generally do not directly receive or store complete payment-card numbers or card security codes. Payment information is processed according to the payment processor’s privacy policy and terms.
2.3 Technician and Authorized-User Information
Business customers may provide information about technicians, service managers, administrators, or other authorized users, including:

employee or technician identifier;
account role;
company affiliation;
service-call activity;
reports created;
feature usage;
login and access history; and
account permissions.
The subscribing business customer is responsible for providing appropriate notices to its personnel and obtaining any required authorization for this information.
2.4 Customer, Property, and Service-Call Information
DroGnostics users may enter or upload information relating to their customers, properties, service locations, and HVAC service calls, including:
customer or contact name;
business name;
service address;
telephone number;
email address;
property or site name;
equipment location;
service complaint;
work-order or job number;
appointment or service date;
technician observations;
job notes;
repair notes;
recommendations;
parts needs;
estimated return-work requirements;
customer communications;
customer acceptance or declination;
customer signature;
service-call status; and
completed reports.
DroMetrics processes this information on behalf of the subscribing business customer.
Users should not enter personal information that is unrelated or unnecessary to the service call.
2.5 Equipment and Diagnostic Information
DroGnostics may collect information about HVAC and related equipment, including:
manufacturer;
model number;
serial number;
equipment type;
installation information;
refrigerant type;
voltage;
phase;
amperage;
minimum circuit ampacity;
maximum overcurrent protection;
motor information;
pressure readings;
temperature readings;
electrical readings;
airflow or flow information;
control status;
fault codes;
alarm information;
operating conditions;
equipment condition;
measurements;
calculated values;
diagnostic findings;
possible causes;
suggested checks; and
technician-confirmed conclusions.
2.6 Images, Photographs, and Uploaded Files
Users may upload or capture:
equipment nameplate photographs;
equipment photographs;
component photographs;
site photographs;
screenshots;
manuals;
documents;
service records; and
other job-related files.
Images may contain incidental information in the background. Users should avoid capturing people, private documents, access credentials, vehicle tags, building-security information, or unrelated personal information.
Where available, DroGnostics may process images to identify or suggest equipment information. Users must review and verify all extracted information.
2.7 Signatures and Acknowledgments
DroGnostics may allow users to capture a customer signature or acknowledgment.
We may collect:
signature image or electronic signature data;
printed signer name;
date and time;
service-call or report identifier;
acknowledgment language presented;
technician or user associated with the signature;
device or session metadata; and
related report information.
DroGnostics does not determine whether a signer is authorized or whether a signature creates a legally binding work authorization, approval, waiver, contract, or payment obligation. That responsibility belongs to the subscribing business customer.
2.8 AI Input and Output Information
When users activate AI-assisted features, we may collect and process:
prompts created automatically by the application;
information entered by the user;
equipment data;
service-call data;
selected measurements;
photographs or extracted image information;
technician notes;
diagnostic context;
AI-generated suggestions;
likely causes;
proposed next checks;
report drafts;
customer-facing summaries;
feedback on AI output; and
related usage information.
Some of this information may be transmitted to third-party AI or image-processing providers as described in this Privacy Policy.
Users should not submit sensitive personal information to AI features unless it is necessary and authorized.
2.9 Communications and Support Information
When you communicate with us, we may collect:

4.4 Provide AI-Assisted Features

organize technician findings;
draft customer-facing summaries;
prepare service reports; and
improve application workflows.
Automated and AI-generated results may be inaccurate and must be independently reviewed by a qualified technician.

product announcements;
feature updates;
administrative communications;
renewal or cancellation information; and
marketing communications where permitted.
You may opt out of nonessential marketing emails using the unsubscribe method provided in the message. You will continue to receive necessary transactional and account communications.
4.6 Protect DroGnostics and Its Users

prevent unauthorized access;
detect fraud;
investigate abuse;
enforce subscription limits;
prevent unsafe or prohibited use;
protect accounts;
monitor system security;
investigate incidents;
enforce our Terms of Service; and

5. OUR ROLE WHEN PROCESSING CUSTOMER DATA
Business customers use DroGnostics to collect and process information relating to their technicians, customers, properties, equipment, and service calls.
For that information:
the business customer generally determines why the information is collected;
the business customer determines what information its users enter;
DroMetrics processes the information to provide DroGnostics;
the business customer is responsible for notices and permissions required from its employees, technicians, customers, and other individuals; and
individuals may need to direct privacy requests to the applicable business customer.
DroMetrics will assist business customers with reasonable privacy requests where required by law or contract.
Business customers must not use DroGnostics to collect information unlawfully, deceptively, or without appropriate authority.
6. HOW WE DISCLOSE INFORMATION
We may disclose information as described below.
6.1 To the Subscribing Business Customer
Account administrators and other authorized personnel of a subscribing business may access information associated with the business account, including:
technician profiles;
service-call activity;
equipment records;
reports;
customer information;
signatures;
subscription usage;
account logs; and
other information entered by authorized users.
Users should understand that information entered through a company account may be accessible to that company’s administrators.
6.2 To Service Providers and Processors
We may disclose information to vendors that perform services for us, including:
cloud hosting;
database hosting;
data storage;
payment processing;
billing;
authentication;
email delivery;
customer support;
website hosting;
analytics;
logging;
performance monitoring;
cybersecurity;
fraud prevention;
file processing;
PDF generation;
AI processing;
optical character recognition;
image processing;
backup and disaster recovery; and
professional services.
These providers may use information only as permitted by their agreements with us and applicable law.

6.3 To Authorized Users and Recipients

when a user sends or shares a report;
when a user provides information to a customer;
when a user authorizes a third party to receive information; or
as directed by the subscribing business customer.
DroMetrics is not responsible for how recipients use information after an authorized user downloads, sends, prints, or otherwise discloses it.
6.4 For Legal and Safety Reasons
We may disclose information if we believe in good faith that disclosure is reasonably necessary to:
comply with law;
respond to legal process;
comply with a court order;
respond to a lawful government request;
investigate fraud or abuse;
protect platform security;
enforce agreements;
protect rights or property;
prevent harm;
respond to an emergency; or
establish, exercise, or defend legal claims.
6.5 In a Business Transaction
Information may be disclosed in connection with:
a merger;
acquisition;
financing;
reorganization;
bankruptcy;
sale of assets;
sale of the DroGnostics business;
due diligence; or
a similar corporate transaction.
Where required, we will provide notice or take other legally required steps before information becomes subject to materially different privacy practices.
6.6 With Professional Advisers

7. SALE, SHARING, AND TARGETED ADVERTISING
DroMetrics does not sell personal information.
DroMetrics does not share personal information for cross-context behavioral advertising.
DroMetrics does not use personal information for targeted advertising.
We may disclose information to service providers that process it on our behalf for hosting, payments, security, analytics, communications, AI processing, and similar operational purposes. Such disclosures are not intended as sales of personal information.
If our practices change, we will update this Privacy Policy and provide any legally required choices or notices before applying materially broader uses to previously collected information.
8. AI PROVIDERS AND DATA USE
DroGnostics may use third-party artificial-intelligence, machine-learning, image-processing, or optical-recognition providers.
Depending on the feature used, information transmitted may include:
equipment data;
nameplate photographs;
extracted nameplate text;
service complaint;
measurements;
readings;
technician notes;
job context;
requested analysis;
report content; and
related technical metadata.
We seek to limit transmitted information to what is reasonably necessary to provide the requested feature.

8.2 AI Training Statement
Customer Data is not used by DroMetrics to train publicly available AI models, and DroMetrics configures contracted AI providers not to use Customer Data to train their general-purpose models where the provider offers and contractually supports that restriction.
8.3 User Responsibility
Users should:
avoid submitting unnecessary personal information;
remove unrelated personal details from images;
verify AI-extracted information;
review AI-generated output;
avoid entering passwords or financial credentials; and
ensure they are authorized to submit the information.
9. AGGREGATED AND DEIDENTIFIED INFORMATION
We may create or use aggregated or deidentified information that cannot reasonably be linked to an identifiable person, customer, account, or property.
We may use such information for:
analytics;
product development;
performance measurement;
benchmarking;
security;
research;
business planning; and
improving DroGnostics.
Where required by law, we will maintain deidentified information in deidentified form and will not attempt to reidentify it except as permitted to test whether deidentification measures are effective.
10. DATA RETENTION
We retain information only as long as reasonably necessary for the purposes described in this Privacy Policy, including to provide the service, comply with law, resolve disputes, maintain security, and enforce agreements.

After the applicable period, information may be:

Deletion from active systems may not immediately remove information from encrypted backups. Namecheap-managed shared-hosting AutoBackup/cPanel backups may retain residual copies for up to 6 months and expire automatically according to Namecheap’s backup schedule. DroMetrics has not confirmed an early-deletion mechanism for those managed backups. Server-level or disaster-recovery backups, if applicable, are maintained for restoration purposes and overwritten according to provider schedules unless preservation is legally required.
Business customers are responsible for exporting and retaining reports and records required for their own legal, tax, warranty, licensing, insurance, service-history, or business purposes.
DroGnostics should not be treated as the customer’s sole permanent record-retention system.
11. COOKIES AND ANALYTICS
11.1 Essential Technologies
We may use essential cookies or local-storage technologies to:
keep users signed in;
maintain sessions;
preserve security;
remember plan selections;
process checkout;
prevent fraud; and
provide application functionality.
These technologies are necessary to operate DroGnostics.
11.2 Analytics
We do not use analytics services.
If used, analytics providers may collect information such as:

pages viewed;
session duration;
referring pages;
feature interactions; and
application events.

backups;

employee or contractor confidentiality obligations.
No method of internet transmission, storage, or security is completely secure. We cannot guarantee absolute security.

using strong, unique passwords;
restricting account access;
promptly removing unauthorized users;
securing devices;
safely handling downloaded reports;
avoiding insecure sharing methods; and
promptly notifying us of suspected unauthorized access.

13. DATA BREACHES AND SECURITY INCIDENTS
We maintain procedures for responding to suspected security incidents.
If a breach affects personal information, we will investigate and provide notices to affected parties, business customers, regulators, or others as required by applicable law and contractual obligations.
Business customers agree to provide reasonable assistance when an incident relates to information they submitted or controlled.
Not every security event constitutes a legally reportable breach.
14. YOUR PRIVACY CHOICES AND RIGHTS
Depending on your location and applicable law, you may have the right to request:
confirmation that we process your personal information;
access to personal information;
correction of inaccurate information;
deletion of personal information;
a copy of information in a portable format;
restriction of certain processing;

We may assist the customer in responding where required.
14.4 Authorized Agents
Where permitted by law, an authorized agent may submit a request on your behalf.
We may require evidence of the agent’s authority and may separately verify your identity.

If applicable law provides a right to appeal a denied request, you may appeal by contacting:

14.6 Non-Discrimination
We will not unlawfully discriminate against you for exercising applicable privacy rights.
However, certain information may be necessary to provide DroGnostics. Deleting or restricting necessary information may result in reduced functionality or account closure.
15. FLORIDA PRIVACY INFORMATION
DroMetrics is based in Florida.
The Florida Digital Bill of Rights applies only to entities and activities that meet its statutory definitions, applicability thresholds, and other requirements.
To the extent that the law applies to a particular request or processing activity, DroMetrics will provide the rights and disclosures required by applicable Florida law.
Nothing in this Privacy Policy is intended to provide rights beyond those required by applicable law, except where DroMetrics expressly chooses to provide them.
16. OTHER U.S. STATE PRIVACY RIGHTS
Residents of certain U.S. states may have additional privacy rights under state law.
To the extent such laws apply to DroMetrics and the applicable information, we will process verified requests as required.

17. INTERNATIONAL USERS
DroGnostics is operated from the United States.
If you access DroGnostics from outside the United States, your information may be transferred to, stored in, and processed in the United States and other countries where our service providers operate.
Those countries may have privacy laws different from the laws where you live.
DroGnostics is currently intended for use in:

If DroMetrics begins intentionally serving users in the European Economic Area, United Kingdom, Canada, or other jurisdictions with additional privacy requirements, this Privacy Policy and our contractual safeguards may be updated.
18. CHILDREN’S PRIVACY
DroGnostics is intended for business use by adults and is not directed to children under thirteen years of age.
We do not knowingly collect personal information directly from children under thirteen through account registration or ordinary product use.
Users must not submit information about children unless the information is legally collected, necessary for an authorized business purpose, and permitted by the applicable business customer.
If we learn that we collected personal information directly from a child in violation of applicable law, we will take reasonable steps to delete it.

Users must not submit unnecessary sensitive information through DroGnostics.

biometric identifiers other than supported electronic-signature information;
precise personal geolocation unrelated to a service address;
information concerning children;
criminal-history information;
immigration information;
information concerning race, religion, sexual orientation, or political beliefs; or
other highly sensitive personal information
unless specifically requested by DroGnostics, necessary for an authorized use, and legally permitted.
20. EMAIL AND MARKETING COMMUNICATIONS

You may opt out of promotional email by:

24. CALIFORNIA NOTICE AT COLLECTION
California Notice at Collection retained for voluntary disclosure and legal review
We may collect the following categories of personal information:

professional or employment information;

If a business customer provides information about employees, technicians, contractors, or applicants, the business customer is responsible for:

DroMetrics processes such information to provide and secure DroGnostics and to administer the applicable account.

Browser “Do Not Track” signals are not currently interpreted uniformly across the industry.
DroGnostics does not currently respond to browser Do Not Track signals.
DroGnostics does not recognize Global Privacy Control or other legally recognized opt-out preference signals.
